How I finally cleaned up my Inbox — and how you can, too

I admit it: I am an e-mail hoarder. I save all kinds of messages that I don’t need to.

This year, my business has grown and I find myself busier than ever before. My messy inbox was killing my productivity and adding to my stress levels. I have missed important messages from clients and colleagues.

So, I went to war with my Inbox. Over the past 24 hours I have been relentlessly and ruthlessly deleting unnecessary e-mails. Here are some of the messages I have deleted:

  • Newsletters
  • Event invitations
  • Thank you notes
  • Updates from friends, colleagues and organizations that I support
  • News alerts
  • Social media messages (e.g. “You have a new Twitter follower!)
  • Meeting confirmations for events that have passed
  • Photos

In addition to deleting unnecessary messages, I filed another 3000 or so. Now every message that I need to keep has been neatly filed and organized into a folder.

How long did all this take? Less time than you might think. Once I put my mind to it, I was focused and diligent. The entire process took less than two days.

The trick is not to open every single e-mail and read though it. I looked at the subject line and made an instantaneous decision: Delete or File.

I have been an e-mail user since the late 1980s — the dawn of e-mail. I have never been able to figure out how to keep my Inbox clean. It has taken me about 25 years to figure out that most messages can be deleted or filed.

It feels great to see, for the first time ever, an Inbox that is manageable.

As I get busier and my business grows, I can not afford to miss messages or have the stress of cyber clutter. For me, cleaning out my inbox has been an important step in developing personal leadership and self-management skills.

50 Adverbs to avoid in academic writing

Most academic writing is strengthened by eliminating adverbs. To emphasize a point, provide more evidence to support it. Avoid unnecessary words and in particular, adverbs. Instead, choose more precise verbs.

An adverb modifies or describes:

  • A verb (e.g. He runs quickly.)
  • An adjective (e.g. His writing is extraordinarily descriptive.)
  • Another adverb (e.g. He runs extraordinarily quickly.)

Often, but not always, adverbs in English end in –ly. Here are 50 adverbs that I have seen in academic papers that you can eliminate and your writing will be better for it:

Often, when writers make a conscious choice to eliminate adverbs and instead find stronger and more precise verbs, the result is writing that is clearer and more powerful.

10 Great writing resources for grad students

Sarah Eaton blog technology researchAfter teaching “Writing Educational Research” for Master’s of Education students at the University of Calgary a number of times now, I’ve come up with a list of my top 10 favorite, free online resources for grad students, emerging scholars and educational professionals:

Basics of APA Style (Tutorial) – The tutorial is “chunked out” into 23 sections, each less than 1 minute long. In total, the tutorial is about 21 minutes long. It is highly practical and full of “how to” information.

Purdue University Online Writing Lab (OWL) – One of the best online resources for APA style for students and faculty. The APA Formatting and Style Guide is particularly helpful.

APA Quick Reference Guide – Produced by the University of North Carolina School of Social Work, this quick reference guide highlights the most important points of the APA manual for students.

Academic Writing and Publishing by James Hartley – This comprehensive 209-page resource book is available free of charge to students in .pdf format. It is a must-have for grad students.

Worksheets for academic writers by Wendy Belcher – Designed to accompany Belcher’s text, Writing Your Journal Article in 12-weeks, these worksheets help writers plan and organize their writing projects.

Advice on Academic Writing from the University of Toronto -This site offers academic writers advice on topics such as planning, organizing, using sources, style, editing and more.

Outlining and Organizing Your Writing from the University of Maryland – This site has links to a number of different resources designed to help students learn how to outline and organize their writing projects.

English Grammar Handbook from the University of Athabasca – This free online e-book addresses many grammar concepts that academic writers need to know such as sentence and paragraph structure and how to avoid misusing common words in academic writing.

Graduate Writing Checklist from John Hopkins University – This handy checklist is designed specifically for graduate students to review before they hand in their papers.

Academic Writing Checklist from the University of Warwick – This checklist is more reflective in nature, challenging emerging scholars to engage in a metacognitive process about their own writing.

Academic writing takes practice and time to learn and with these free online resources to help you, it will be even easier.

10 Tips to Help Your Child Learn to Love Reading

iStock-Girl with bookHelping a child to develop his or her love of reading is a gift that will last a lifetime. Here are 10 tips to help you cultivate your child’s love of books and reading.

1. Read together – Rather than plunking your child down in a chair with the hopes that he or she will read on their own while you do other tasks, take the time to read with your child. From start to finish, show your child what it means to choose and read a book and then think about it afterwards.

2. Create special time for reading – Set aside time regularly to read. Make this one-on-one time with your child. Choose a time of day when both you and your child are alert and ready to spend quality time together. During this time, turn off and put away your mobile device. Avoid taking phone calls, responding to e-mails or sending texts during your special reading time. Give your child your full attention and focus on creating a fun and enjoyable experience.

3. Get comfy – Chose a spot that is comfortable with lots of light. Preferably, you want to read in a space that is free of loud or distracting noises, too.

4. Let your child chose the book – Chances are higher that your child will be motivated to read with you if you let him or her pick out the book you will read. If you choose the book, your child’s interest levels may be too low to fully engage him or her.

5. Take turns – You do not have to do all the reading and neither does your child. Take turns and share the reading experience.

6. Change your voice – Change the speed, pitch and tone of your voice to keep the experience exciting for your child. Create different voices for different characters to engage your child’s imagination.

7. Give encouragement – Give your child lots of praise and support as he or she learns to read. Be gentle, kind and encouraging. This helps to create a positive atmosphere where learning and discovery go hand in hand.

8. Offer incentives – For reluctant young readers, incentives can help motivate him or her. For example, one incentive might be that for every book you read together, your child can stay up for an extra 15 minutes that night… but you have to get through the whole book! Choose incentives that don’t involve food, TV or video games to help encourage a healthy lifestyle. Keep the rewards modest and then keep your promise.

9. Ask questions as you read – Ask your child to point to characters in the book or identify items that are a certain color. When your child is ready, ask about letters and words, too.

10. Keep the fun going – After you have finished your book, ask your child about his or her favorite parts of the story or favorite characters. Ask questions that help him or her remember the story. Practice new words together, too.

Twitter for Teachers at the Central Alberta Teachers’ Convention (CATCA) 2013

Twitter for Teachers (cover - jpg)I am super excited to be presenting my workshop, Twitter for Teachers, today at the Central Alberta Teachers’ Convention at Red Deer College.

Here’s what I’ll be sharing:

  1. Twitter overview. We will briefly review what Twitter is and how it is used in business. This course is designed for people who already have had some exposure to Twitter and want to learn how to use Twitter in a meaningful and strategic way. There is no point in having a Twitter account “just because”.
  2. Develop your personal Twitter strategy. You will learn how to develop your own personal vision about what Twitter means to you and why.
  3. Twitter time management. You will learn how to manage your time on Twitter effectively. There is no question that social media can be time consuming. In this session, we will talk about ways to minimize the time you spend on Twitter,  while still using it to its fullest potential.
  4. Twitter followers.  We will bust the myth that you need more followers. What you really need is more engaged followers. You will learn what it means to have an engaged following and how to develop one.
